Seven rate negotiation moves that add $0.30 a mile

A rate is not a fact, it is an opening position. Brokers post a number they hope to pay, and the carriers who accept it first are almost never the carriers earning the most per mile. Negotiation is a process, and a repeatable one.

1. Know the lane before you dial

Never call about a load you have not benchmarked. Check the current lane average, the load-to-truck ratio in the origin market, and how strong the outbound freight is at the destination. If the destination is a dead market, that cost belongs in this rate.

2. Price the whole trip, not the loaded miles

Deadhead to pickup, fuel at current prices, tolls, and the time the appointment will cost you all shape whether a number works. A $2.40 per mile load with 180 miles of deadhead is not a $2.40 load.

3. Let them name a number first

Ask what the load pays before you offer. When you anchor first you cap yourself, and brokers routinely have more room on covered-late freight than their posting suggests.

4. Give a reason, not a wish

"I need $2.75" is easy to decline. "That lane is running $2.70 to $2.85 this week and I'm deadheading 90 miles to get there, $2.80 and I'll cover it now" is a business case.

5. Ask for accessorials in the same breath

  • Detention after two hours, with the hourly rate stated on the rate confirmation
  • TONU if the load cancels after you have been dispatched
  • Layover if the appointment slides to the next day
  • Extra-stop and tarp pay where the freight demands it

6. Use time as leverage carefully

Freight that must move today is your strongest position. Freight posted for a pickup three days out is theirs. Recognize which one you are looking at before you push.

7. Get it in writing, then deliver clean

The best long-term rate strategy is a service record worth paying for. Confirm everything on the rate con, communicate delays early, and the same broker starts calling you first, usually with better numbers.
